Report configuration
Control how your printed documents look and read — templates, layout, wording, price lists, and Swiss QR-bill and ESR payment settings.
Report configuration is where you control how your printed and emailed documents look and read: the logos and margins, which fields appear, the wording on each document type, how your price lists are laid out, and the Swiss payment-slip settings. It's the design side of your paperwork.
Don't confuse it with the separate top-level Reports area — that's where you generate finished PDF reports. This screen sets up how those documents and your everyday quotes, invoices, and delivery notes are formatted.
To open it, go to Configuration → Reports. The settings are split across the tabs described below.
Layout
The Layout tab controls the overall look of your documents. Here you can:
- Upload the logos used on your paper and printed documents, optionally a different logo per country.
- Choose whether the recipient address sits left or right, starts with first or last name, and when to show the country.
- Set page margins (padding top, bottom, left, right) and the document font.
- Choose the price display rule (net for companies / gross for private customers, net for all, gross for all, and so on) and the digit-grouping format.
- Toggle which article details appear (manufacturer, bottle size, country, SKU or lot number, and — for wine tenants — alcohol volume and vintage year).
- Set per-document options for delivery notes, packing slips, invoices, and order confirmations — such as showing prices, totals, weights, signatures, or a due date.
Because much of the wording is language-specific, use the language selector at the top to edit each language your business uses.
Templates
The Templates tab lists your report templates — the base templates that drive how a given document type is produced, optionally per country. Use Create new to add a template, and the edit and delete actions on each row to manage existing ones. Templates let you tailor the document build for a specific document type and country combination.
Reports
The Reports tab is where you localise the wording that appears on your reports and documents. It lists the individual text labels, grouped by document type, with a field for each one, and a language selector so you can translate every label into the languages you sell in. Edit the labels and select Save.
Pricelist
The Pricelist tab controls how your price-list PDF is designed:
- Toggles for SKU, excluding zero prices, colour, an extra description column, and page numbers.
- Colours for the header, group headers, categories, manufacturers, and notes.
- Page margins (top, bottom, left, right).
- Grouping — group the list by country, area, category, or a custom field, with an optional second grouping level.
- How pictures are shown (separate column, in the description, or hidden) and whether to order by SKU or description.
- A localised footer and an optional background/cover image, with a language selector for the wording.
QR settings
The QR settings tab configures the Swiss QR-bill that Vinosoft prints on your invoices. Here you:
- Turn the QR-bill on or off.
- Enter your QR-bill ID, your IBAN, and a separate EUR IBAN if you invoice in euros.
- Upload an attachment image if needed.
You can also generate a test PDF: pick an existing invoice, check the amount, currency, and reference that fill in from it, and produce a sample QR-bill to confirm your details are correct before sending real invoices.
ESR settings
ESR settings relate to the older Swiss ESR (orange) payment slip — the reference-number payment slip used before the QR-bill. Where available, this is where the participant and reference details for ESR slips are configured.
