General configuration

The General page holds your account, company master data, article defaults, mail, printers, API apps, and other system-wide settings.

The General page is the biggest of the Configuration sub-pages. It gathers the settings that describe your business and control how Vinosoft behaves day to day — your login profile, company master data, article defaults, outgoing mail, printers, and connected services.

Open it from Configuration → General. The groups below appear as sub-tabs along the top; which ones you see depends on your permissions and the features enabled for your account.

Account

Your personal profile for this login. Edit your first name, last name, and phone number, pick the colour scheme and the interface language, then Apply. A Change password link takes you to your profile to update your password. This is also where the master address (below) is edited.

Master address

Your company's main address, used as the sender on documents and correspondence. Fill in name, department, street, PO box, ZIP, city, country, phone, fax, email and web page, then Save. Get this right — it appears on invoices, quotes, and letters.

Master data

Your company's fiscal and numbering setup:

  • Company / VAT number and (where applicable) additional registration numbers.
  • VAT charge type — whether you charge VAT at all — and, if you do, your VAT billing type (effective billing on agreed or paid fees, or saldo/flat-rate billing with your agreed rate).
  • Bank details per currency, shown on payment slips.
  • Numerators — the number templates and current counters for your documents (invoices, quotes, and so on). Edit the template and starting number; a live preview shows the next number.
  • Settings toggles such as allowing deletion of in-progress invoices, using the article's tax on documents, saving products without an SKU, and hiding the tax line.

Article

Defaults and display options for articles:

  • Default field values for new articles (SKU, description, area, manufacturer, supplier, stock amount, size, year, page size).
  • Custom price application — apply custom price rules for the current user or for all users, with price type, price group, and user group.
  • Display toggles for what shows on article lists and documents: description, tax, manufacturer, picture, country, size, supplier, product unit, and whether the packs, product-defect, and sub-article sub-modules are enabled.

Management

Manage the people who use Vinosoft. Create and edit sellers (users), and create and assign roles that control what each user can do. The list shows each user's name, email, roles, and last login.

SMTP settings

Configure how Vinosoft sends email. Choose a sending method — standard SMTP, Mailgun, Office 365 (including a guided consent wizard), or the built-in Vinosoft mail — and fill in the fields for that method. Use the test email box to send yourself a message and confirm the settings work before relying on them.

Custom fields

Define your own extra fields to capture data Vinosoft doesn't hold out of the box. Create fields, set their type and options (including reusable option groups), and manage them from the list.

Printers

Connect physical printers through PrintNode. Enter your PrintNode API key, then map each print job to a computer, printer, and paper bin. This drives direct printing of documents and labels.

Apps

Create API applications so external tools can connect to Vinosoft. Each app has a name, a set of scopes (what it may access), and a valid-until date, and issues client credentials on creation. Use this to grant programmatic access without sharing a user login.

HelpScout

Connect a HelpScout account for in-app support. Enter your HelpScout App ID and App secret, save, and use Test connection to confirm it works. This section only appears when the HelpScout feature is enabled for your account.

Shop, Templates, and ESR

Depending on your account's features and permissions, General configuration may also expose:

  • Shop — general settings for your connected online shop.
  • Templates — document templates used when generating printed and emailed output.
  • ESR — settings for ESR / QR payment slips.

The exact layout of these varies by setup. If you don't see one, it isn't enabled for your account.
